Almost every company knows when its trade licence expires. Far fewer track the establishment card, which is a different document, issued by a different authority, on its own cycle. It is the quiet blocker behind a surprising number of stalled visa applications.

The failure mode

An expired establishment card does not announce itself. You discover it when a work permit will not submit, a visa cannot be renewed, or a cancellation will not process — usually with a candidate waiting.

Because the card is inexpensive relative to the licence, it is rarely the thing anyone is watching. That is exactly why it catches people.

Set against the wider cost of annual compliance — licence, market fee, Chamber of Commerce — this is a small line. The cost of letting it lapse is not the fee; it is the hiring delay.

What you need

  • Valid trade licence — renew this first if both are due
  • Existing establishment card
  • Passport and Emirates ID of the owner or authorised signatory
  • Registered Ejari for the premises
  • Confirmation that outstanding immigration fines are settled

The sequence that avoids trouble

1. Ejari

The tenancy must be registered and current — it underpins both the licence and the card.

2. Trade licence

Renew this first. The establishment card cannot be renewed against an expired licence — see trade licence renewal.

3. Establishment card

Then renew the card, which is issued against the licence.

4. Then transact

Work permits, visas and cancellations will now process. Attempting them in a different order is where files stall.

What an expired card blocks

The cancellation case is worth dwelling on. An employee who has resigned cannot be cancelled cleanly if the company file is expired, which leaves their status unresolved and can start fines accruing against them for a failure that is not theirs.

What is an establishment card?

Your company's immigration file, issued by the immigration authority. It is what permits the company to sponsor residence visas. It is separate from the trade licence and has its own expiry. Explained further in what an establishment card is.

Is it the same as the immigration card?

The terms are often used interchangeably for the same document. What matters is that it is distinct from the trade licence and must be valid for any visa transaction to process.

What happens if it expires?

Visa transactions stop — new permits, renewals and cancellations alike. Penalties may apply for the lapsed period, and the practical cost is usually the hiring delay rather than the fee.

Can I renew it without renewing the trade licence?

No. The card is issued against a valid licence. If both are due, the licence is renewed first.

Do free zone companies have one?

Yes, though it is administered by the free zone authority under its own process and fee schedule — see free zone visa services.

How long does renewal take?

Typically a few working days with a clean file and a valid licence. Outstanding fines or an expired licence extend that considerably.
